This Privacy & Cookie Policy explains how TRIBE 99 collects, uses, stores, and discloses information through our websites, registration systems, portals, and digital services related to programs such as: THE DANCE COMBINE; Regional Combines, OFFSEASON, OFFSEASON Youth & Junior, CHOREO-CONNECT, choreography services, recruitment exposure opportunities, digital training and education programs (collectively the “Services”).
This Privacy & Cookie Policy applies to all users of our Services, including dancers, parents or guardians, coaches, choreographers, studio owners, program representatives, vendors, and partners. By accessing or using the Services, you acknowledge that you have read and understand this Privacy & Cookie Policy.
1. INFORMATION WE COLLECT
We collect information necessary to operate our programs, provide services, and support recruiting opportunities.
1.1 Choreography Request, Event Registration and Profile Information
Information submitted during registrations or profile creation may include:, name, email address, phone number, mailing address, city and state, graduation year, high school name, studio name, high school coach name, studio owner or coach name, dancer recruiting preferences or “top 5” college lists, parent or guardian email, emergency contact information, competition list and divisions, and general creative requests for choreograpy.
1.2 Optional Safety Information
Participants may voluntarily provide emergency health or safety information intended solely for event safety purposes. This information: is optional; is only visible to relevant TRIBE 99 staff or authorized athletic training partners; is not maintained as medical records; AND is used solely for safety planning. TRIBE 99 follows appropriate confidentiality practices when handling such information.
1.3 Media and Content Submissions
Participants may submit or provide: dancer videos; photos; dancer profiles; recruiting materials. Videos may be hosted on YouTube, Vimeo, Google Drive, or Dropbox through links provided by participants. TRIBE 99 encourages participants to use unlisted or private video links, but we cannot control the privacy settings of third-party video platforms.
2. INFORMATION COLLECTED AUTOMATICALLY
When you use our websites, we may automatically collect technical information such as: IP address, browser type, device type, pages visited, time spent on pages, referring websites, click activity, approximate geographic location derived from IP. This information helps us improve our Services and website functionality.
3. COOKIES AND ANALYTICS
Our websites use cookies and similar technologies.
3.1 Analytics Cookies
We currently use Google Analytics to measure website performance and understand how visitors use our websites. Google Analytics may collect: page visits, click activity, referral sources, device and browser information, and approximate geographic data. This information is used only for website performance analysis and improvement.
3.2 Email Analytics
Email communications sent through any of our email marketing platforms or registration systems may include tracking tools that measure: email open rates and link click activity. This helps us improve communication effectiveness.

4. HOW WE USE INFORMATION
We use collected information to: process registrations and purchases; manage event participation; support recruiting exposure opportunities; create dancer profiles for coach viewing; communicate with participants, parents, and coaches; send reminders or incomplete registration notices; send event announcements and promotions; match choreographers to teams via our choreography services; ; improve website functionality; maintain operational records; track program outcomes and success stories; AND comply with legal obligations.
5. COMMUNICATIONS
Participants and users may receive communications through: email, SMS/text message, and phone calls.
5.1 SMS Consent
SMS communication consent is obtained through a registration checkbox opt-in. SMS messages are typically used only for participants who need reminders regarding incomplete items or time-sensitive event information. Users may opt out of marketing communications where applicable.
6. INFORMATION SHARING
We do not sell personal information. Information may be shared in the following situations.
6.1 College Coach Access
At recruiting events, dancer profiles may be shared with participating college coaches. Coach access may include: dancer profile information, dancer videos, and recruiting details submitted by participants. Coaches may choose to contact dancers directly via email, phone, or social media outside of our platform.
6.2 Judge Access
COMBINE SCORE judges only receive: dancer number, and dancer video(s).
6.3 Internal Staff Access
Information may be accessed by: TRIBE 99 staff; authorized event personnel; and athletic trainers where relevant to safety.
6.4 Vendors and Sponsors
We may share limited information with sponsors or vendors, including: aggregated statistics; event participation numbers; and non-identifiable demographic information. We do not share contact information of minors with vendors or sponsors. In some cases, sponsors may purchase an email campaign delivered through TRIBE 99 systems, where TRIBE 99 retains control of the distribution list.
6.5 Service Providers
Information may also be shared with trusted service providers including: Kajabi; Webconnex; Square; PayPal; Dubsado; Google Workspace; and analytics providers.These providers assist in operating our Services.
7. DATA RETENTION
We retain information as necessary to operate our Services and maintain program history.
7.1 Profile Access
Coach access to dancer profiles expires within one year after an event.
7.2 Archiving
Profiles may be archived internally after expiration.
7.3 Long-Term Records
Certain records may be retained for up to seven (7) years for purposes such as: program performance tracking; success story documentation; and operational reporting.
8. DATA SECURITY
Information is stored using systems such as: Google Workspace, Kajabi, and Webconnex. We implement reasonable administrative, technical, and physical safeguards to protect information. However, no system can guarantee complete security of data transmitted via the internet.
9. DATA DELETION REQUESTS
Participants or parents may request removal of: dancer profiles; contact information; videos; and other submitted data

10. CHILDREN AND MINORS
Minors may only participate in our Services with parent or guardian consent. Parents or guardians must complete registration and associated waivers for participants under 18. We do not knowingly collect personal information from children under 13 years of age without appropriate parental consent.
11. INTERNATIONAL USERS
Our Services are operated primarily within the United States. While a small percentage of participants may reside outside the United States, we do not actively market internationally. Users outside the United States acknowledge that their information may be processed in the United States.
12. CALIFORNIA PRIVACY RIGHTS
California residents may have certain rights under the California Consumer Privacy Act (CCPA).
These rights may include the ability to:
request access to personal information
request deletion of personal information
request correction of inaccurate information
receive disclosure regarding categories of information collected
